Position Overview: We are seeking a highly organized and proactive Client Services Coordinator to support our commercial real estate sales agents by ensuring they are seamlessly connected to our platform. This position will collaborate closely with the Sales, Research, Marketing, and Operations teams to manage transaction coordination, marketing collateral, and client engagement activities. The role is pivotal in enhancing agent productivity by providing administrative and creative support that helps drive sales and strengthen client relationships.

Key Responsibilities:

  • Serve as a liaison between the sales agents and the company platform, ensuring smooth communication and seamless integration.
  • Coordinate marketing collateral for property listings, including brochures, email campaigns, property photography and proposals.
  • Maintain accurate and up-to-date data in commercial real estate databases and marketing platforms. (Rethink, Buildout, LoopNet, Crexi)
  • Assist with client invoicing and ensure all deal-related documents (confidentiality agreements, contracts, Rep Agreements, LOIs, and closing documents) are organized and up to date.
  • Provide general administrative support, including transaction management, preparing and executing agreements, and assisting with project coordination.
  • Collaborate with the marketing team to develop creative content and manage social media accounts.
  • Plan and execute broker events and other client engagement activities.
  • Assist with CRM management and data tracking to support business development efforts.
Qualifications:

  • Bachelor’s degree in business, marketing, or a related field is preferred.
  • 2+ years of experience in an administrative, marketing, or client services role, ideally within real estate or a similar field.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Experience with CRM systems and proficiency in Microsoft Office (Outlook, Word, Excel).
  • Ability to multi-task, prioritize, and manage time effectively in a fast-paced environment.
  • A collaborative team player with strong interpersonal skills.
  • Marketing or design experience is a plus.
 
Compensation: $65,000.00 per year
